We generally collect personal information directly from you — through our website contact and enquiry forms, phone conversations, email, in-person meetings, engagement documents, and portal or document-upload tools we may use to exchange records with you.

We may also collect information from third parties where necessary and with your knowledge or consent, including:

We do not disclose your personal information to overseas recipients except where a service provider we use (such as a cloud software or hosting provider) stores or processes data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure the overseas recipient handles your information in a manner consistent with the Australian Privacy Principles.

6. Data quality and security

We take reasonable steps to ensure the personal information we hold is accurate, complete and up to date, and we encourage you to notify us of any changes to your details.

We protect personal information through:

  • secure, access-controlled practice management and document storage systems;
  • password protection, encryption and multi-factor authentication on key systems, where available;
  • restricted staff access to client files on a need-to-know basis;
  • secure destruction or de-identification of records that are no longer required, subject to statutory record-keeping requirements (tax and business records are generally retained for a minimum of five years, as required by law).

No method of electronic transmission or storage is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security.

7. Access to and correction of your information

You have the right under the Privacy Act to request access to the personal information we hold about you, and to request correction of that information if it is inaccurate, out of date, incomplete, irrelevant or misleading.

To make a request, please contact us using the details in Section 11. We will respond within a reasonable period (generally 30 days). In some circumstances, access may be limited or refused as permitted by law (for example, where it would unreasonably impact the privacy of others), in which case we will explain our reasons.

There is generally no charge to request access to your information, though we may charge a reasonable fee to cover the cost of retrieving and providing extensive records.
